BE OUR NEXT TOPNOTCH Operations Officer (Amman, Jordan)

This position will have to handle daily operations and all activities relating to it.

Responsibilities

  • Check operations related issues after sales, such as flight details, itinerary, cost of transfers, guiding fees, entrance fees, guide/driver overnight.
  • Assign required services, such as driver, guide, transportation.
  • Update the cover page with driver/escort/guide name and contact number.
  • Coordinate with accounting department the required deposits for guides/escorts/drivers.
  • Settle payments with drivers/escorts/guides after the guest departure.
  • Upon payments settlement, provide the accounting department with the following:
  • - Expense sheet to include file number, date, pax number, agent and sales reference.
  • - Attach to the expenses the quotation sheet.
  • - Entrance tickets.
  • - Invoices.
  • Checking both arrival and departures lists.
  • Meet and assist all arrival, in-house and departures guests.
  • Meeting guests at hotels/resorts.
  • Assisting the operations manager in day to day operational tasks
  • Preparing and explaining Welcome pack.
  • Hand over to transfer
  • Ensure that other airport services are delivered
  • Coordinate with visa dept in case of visa error
  • All jobs to be done with the appropriate attitude and attire representing the company's image assuring client's satisfaction.
  • Prepare daily report after the completion of the service.
  • At the meeting point:
  • - Check on the assigned transfer vehicle: Drivers’ knowledge with the job, cleanliness of vehicle, and driver’s appearance
  • - Handle any last minute requests/irregularities
  • - Report irregularities to the CS Coordinator on the spot
  • - Call the hotel after guests check-in to get the room number and contact the guests to assure their satisfaction
  • - Forward the room numbers for next day's tour by mail or sms to the CS Coordinator

Requirements & Skills

  • University degree or commercial experience
  • Knowledge of working in Jordan
  • Knowledge of industry IT systems beneficial
  • Experience in a similar role and sector will be highly advantageous
  • 2-3 years experience in a similar position would be advantageous
  • Good command of MS Office applications (Word, Excel, PowerPoint)
  • Ability to speak and write in both English and Arabic is preferred
  • Experience in international environment an advantage
  • Service-oriented, resilient, hands-on personality
  • Communicative and independent work style
